Per-seat vs per-minute call center pricing: which fits?
The two most common ways to pay for an outsourced call center are per agent seat and per minute of talk time. The right choice depends mostly on one thing: how busy a dedicated agent would be on your calls.
The short answer
- Choose per-seat pricing when your volume is steady enough to keep agents busy for most of their shift, or when agents need deep knowledge of your products, systems and customers.
- Choose per-minute pricing when volume is low, seasonal or hard to predict, or when you need overflow and after-hours cover without paying for idle time.
How per-seat pricing works
You pay a fixed rate for each agent seat. Those agents work only on your account, learn your products in depth and become familiar to your regular customers. Costs are predictable: the invoice is the number of seats times the seat rate.
The trade-off is utilisation. You pay for each agent's scheduled time, including quiet periods between calls, so per-seat pricing is best value when your volume fills most of that time.
How per-minute pricing works
You pay only for the minutes agents spend handling your calls. Calls are answered by a shared, trained team that also handles other programs, so the provider carries the cost of time when your phones are quiet.
Because the provider carries that idle time, the rate per minute is set higher than the cost of a minute from a fully busy dedicated agent. You are paying for flexibility: no unused capacity in slow weeks, and cover that stretches when volume spikes.
A simple way to compare them
Work out what a dedicated agent would actually cost you per minute of real work:
- Estimate the minutes per month an agent would spend on your calls, including after-call work. Use your call logs: calls per month multiplied by average handle time, divided by the number of agents you would need.
- Divide the monthly seat rate by those minutes. That is your effective cost per handled minute on a seat.
- Compare it with the per-minute rate. If the effective seat cost is lower, seats are better value; if it is higher, per-minute is.
Run the numbers for your busiest and quietest months, not just the average. Seasonal businesses often find seats win in peak months and per-minute wins the rest of the year.
Questions to ask any provider
- What counts as a billable minute? Ask whether ring time, hold time and after-call work are included.
- Is there a minimum? Some per-minute plans have a monthly minimum spend or minutes commitment.
- Who answers your calls? On per-minute plans, ask how agents are trained on your program and how many programs they handle.
- How is quality measured? Ask what is monitored, how often, and what reporting you receive under each model.
- Can you change models? Ask how a move from per-minute to dedicated seats would work if your volume grows.
Signs per-seat pricing fits
- Steady daily volume that would keep agents busy most of their shift
- Complex products, technical support or regulated conversations that need specialist knowledge
- Agents working inside your own CRM and ticketing systems every day
- Customers who benefit from speaking to the same small team
Signs per-minute pricing fits
- Low or unpredictable volume, or a new line you cannot forecast yet
- Seasonal peaks, promotions or launches
- Overflow when your in-house team is busy
- Evening, overnight and weekend cover
Some companies pair a dedicated team for core volume with per-minute cover for overflow and after-hours calls. If that sounds like your situation, say so when you ask for a quote and we will price both.

Pricing models: FAQs
What is per-seat call center pricing?
With per-seat pricing you pay a fixed rate for each agent assigned to your account. The agents work only on your program, and you pay for their scheduled time whether or not the phones are busy.
What is per-minute call center pricing?
With per-minute pricing you pay only for the minutes agents spend handling your calls. Calls are answered by a shared, trained team, and the provider carries the cost of time when no calls come in.
Is per-minute or per-seat pricing cheaper?
It depends on how busy an agent would be. If your volume would keep a dedicated agent busy for most of their shift, per-seat pricing usually costs less per minute handled. If volume is low, seasonal or unpredictable, per-minute pricing usually costs less because you do not pay for idle time.
